This Privacy Policy explains how KinderTab collects, uses, stores, and protects personal information when families, staff, schools, operators, and other authorized users access KinderTab websites, portals, mobile applications, and related services.

This Privacy Policy applies to information processed through KinderTab in connection with childcare, school, enrollment, communication, billing, attendance, staffing, and administrative operations. It applies to users who access KinderTab directly and to information submitted to KinderTab by childcare centres, schools, operators, guardians, employees, and contractors.

Depending on how KinderTab is used, we may collect and process information such as:

  • account details such as names, usernames, passwords, email addresses, and phone numbers;
  • school, childcare, and organization information such as campus names, room assignments, and staff roles;
  • student and family information such as names, attendance records, emergency contacts, authorized pickups, and enrollment information;
  • health and care information such as allergies, medications, incident notes, classroom logs, meal details, nap details, and developmental observations;
  • billing and payroll-related information such as invoices, payment status, timesheets, paystub details, and reimbursement records;
  • communication data such as chat messages, reminders, alerts, and support requests;
  • technical information such as device identifiers, app session data, IP address, approximate location data where enabled, login activity, and push notification tokens;
  • documents and uploads such as forms, receipts, reports, and attachments submitted through KinderTab.

3. How We Use Information

We use personal information to operate and improve KinderTab, including to:

  • authenticate users and manage secure access to school and childcare records;
  • support daily childcare and school operations such as attendance, logs, messaging, scheduling, and reporting;
  • facilitate enrollment, billing, payments, payroll, reimbursements, and document workflows;
  • send operational communications such as login verification codes, reminders, notices, and service alerts;
  • maintain audit trails, troubleshoot issues, monitor misuse, and protect system security;
  • comply with contractual, legal, regulatory, and recordkeeping obligations.

4. How Information Is Shared

KinderTab does not sell personal information. We may share information only as needed to operate the service and support the school or childcare relationship, including:

  • with the school, childcare centre, franchise, or operator that manages the applicable account;
  • with guardians, staff, and authorized users according to role-based permissions and the organization’s settings;
  • with service providers that help us host, secure, support, message, or maintain the platform;
  • where disclosure is required by law, court order, legal process, or to protect the safety, rights, or property of children, families, staff, KinderTab, or others.

5. Child and Student Information

KinderTab is used by schools and childcare organizations to manage records relating to children and students. We process child-related information on behalf of the organization using KinderTab. Parents, guardians, and authorized caregivers should direct questions about school-level collection, consent, or classroom recordkeeping to the relevant school or childcare provider first.

6. Mobile App and Device Data

When you use the KinderTab mobile app, we may process device-related information such as push notification tokens, device identifiers, login/session records, mobile access permissions, and limited device metadata needed to authenticate the app, secure the account, and support app features such as reminders, messaging, and session protection.

7. Security

We use reasonable administrative, technical, and organizational safeguards to help protect personal information against unauthorized access, disclosure, alteration, or destruction. These safeguards may include access controls, session management, logging, permission-based visibility, secure transmission practices, and other operational security measures. No system can be guaranteed to be completely secure, and users are also responsible for keeping credentials confidential and notifying the relevant organization or KinderTab if they suspect unauthorized access.

8. Data Retention

We retain information for as long as needed to provide the service, support the organization’s operational needs, comply with legal or contractual obligations, resolve disputes, and enforce our agreements. Retention periods may vary depending on the type of record, the organization’s policies, and applicable legal requirements.

9. Your Choices and Requests

Depending on your role and applicable law, you may be able to request access to, correction of, or deletion of certain personal information. Because many records in KinderTab are managed on behalf of a school or childcare provider, some requests may need to be handled by the organization that controls the account. We may need to verify identity before acting on a request.

10. Third-Party Services

KinderTab may integrate with or rely on third-party services for messaging, hosting, email delivery, mobile notifications, storage, or related infrastructure. Those providers may process information as part of delivering their services to KinderTab, subject to applicable contractual and security controls.

11. International Processing

Depending on system architecture, support arrangements, and service providers, personal information may be processed or stored in jurisdictions outside the province, state, or country in which it was originally collected. Where this occurs, the information may be subject to the laws of those jurisdictions.
